Rewards privacy notice

This notice explains how Oak House Farm uses your information when you join our rewards stamp card. We keep it short and only collect what we need.
Who we are
Oak House Farm, Burstall Lane, Sproughton, Ipswich, IP8 3DH. Phone 07768 088095. We are the "controller" of your information. Contact us at the farm shop, by phone, or by email at [shop email address] with any privacy question.
What we collect
- Your first name and email address. There's no password — your phone remembers your card. We use your email to send you a link to get your card back on a new phone, and to recognise you if you ask us to move it.
- Your stamps, the gifts you've earned and collected, and when, plus which member of staff added each stamp.
- Whether you've asked to receive offers and news by email, and when you chose that.
We don't collect payment details, your address, your location or anything about what you buy.
Why we use it
- To run your stamp card — adding stamps, giving gifts and letting you sign in. The legal basis is that it's needed to provide the scheme you've signed up to.
- To send you offers and news — only if you ticked the box. The legal basis is your consent, which you can withdraw at any time in the app (Account → Emails from us) or by asking us.
- To prevent misuse — for example spotting duplicate stamps. This is in our legitimate interest in running a fair scheme.
We will occasionally email you about your account (for example about moving your card). We never sell or share your information for other companies' marketing.
Where it's stored
Your information is stored with Google Firebase on servers in London, and the app is hosted alongside our website by [your website hosting company]. These companies act on our instructions only. If we use an email service (such as Mailchimp) to send offers, your name and email are shared with it for that purpose only.
How long we keep it
- Stamps expire if you don't collect a new one for 12 months, and gifts must be collected within 12 months of earning them.
- We keep your account until you delete it. If an account hasn't been used for [2 years], we may delete it.
- Records of stamps and gifts may be kept for up to [2 years] for our business records.
Your rights
You can ask to see, correct or delete your information, object to how we use it, or stop marketing. In the app you can:
- Download your data — Account → Your data → Download my data.
- Change your name and turn marketing emails on or off — Account tab.
- Delete your account — Account → Your data → Delete my account.
For anything else, just ask us. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
The rewards scheme is for customers aged 16 and over.
